The Graduate School of Universitas Gadjah Mada (SPs UGM) actively participated in the Focus Group Discussion (FGD) on the “Implementation Strategy of the Standard Operating Procedure (SOP) for Internal Communication Guidelines,” held by Universitas Gadjah Mada on Friday, January 31st 2025. This event served as a platform for public relations teams in UGM to develop strategic steps in enhancing the effectiveness of internal and external communication.
Dr. Andi Sandi, Secretary of Universitas Gadjah Mada, emphasized that communication is not merely a tool for delivering information but a fundamental pillar in strengthening public relations functions. “Effective communication is not just about conveying messages, but also about building trust and maintaining harmonious relationships with various stakeholders,” he stated in his opening remarks.
This FGD featured speakers who shared their experiences and insights in managing institutional communication. Winda Mizwar Pratiwi introduced her communication philosophy: “I am here for you.” According to her, this approach is key to creating empathetic communication, fostering trust, and strengthening relationships within the workplace and with the public.
Meanwhile, Mohamad Ryan Saputra highlighted the importance of technical preparation before communicating with external parties. He stressed the need to understand the context of discussions, craft clear messages, and manage questions from journalists professionally. “Technical readiness and a deep understanding of the issues at hand are crucial for maintaining the institution’s credibility,” he explained.
Farchan Noor Rachman also underlined two critical aspects of public relations communication: ensuring accurate representation of institutional policies and managing public opinion, especially in crisis situations. He emphasized the importance of building strong relationships with the media based on the principles of transparency, consistency, responsiveness, empathy, and proactivity.
The FGD concluded with a presentation by Dr. Tirta Mandira Hudhi, M.A.B., who provided real-life examples of strategies for building relationships both internally and externally. He encouraged participants to not only understand communication theories but also apply them effectively in daily public relations practices.
Through this discussion, SPs UGM aims to implement a more structured and effective internal communication SOP within UGM, strengthening the institution’s reputation in facing communication challenges in the increasingly dynamic digital era.
